5 Ways To Better Manage Your Inbox

How much time do you spend checking your emails in a day? 30 minutes? An hour or two? Or is it eating into your ‘screen time’ every day?

If you’re anything like me, your email inbox is a hot mess—a breeding ground of unopened and unimportant messages. Collectively, I have three emails: one for work, a personal one and another email for everything else (the bulk of promos and social media notifications go here!) 💌

And it looks a lot like this right now:

#InboxZero? *scoffs* I could never.

Emails remain an extremely useful and important communication tool that’s withstood the test of time. But, keeping up with your inbox could be draining your time and energy, especially if you receive a hundred of those each day. From crafting out responses, keeping tabs on important follow-ups and checking in on Spam—the list never ends!

You could easily miss out on important emails, perhaps relating to a job interview? 😱 Here’s the tea: In recent months, nearly 700 job seekers ghosted on an employer’s email response to their job application via Wantedly. That could’ve been your dream job knocking or a special invitation to visit a company 😩

It’s time to take back control of your inbox and here are 5 great tips to conquer Mount Email.

1. Take immediate action

Try not to delay your response until tomorrow for what could be accomplished right away. If the reply only requires a minute of your time, do it as soon as you’ve read the email. If you can’t respond immediately or if it requires more than a simple reply, let the sender know you’ll be following up shortly, and set a deadline on your calendar. To do this on Gmail, click on “More” in the toolbar then select “Create event”.

By doing this, you’ll be able to filter through emails better, faster, and push yourself to take action in a timely manner.

2. To trash or to unsubscribe? That is the question

Drowning in promo emails or newsletters? Trash those spam or irrelevant promotional emails at once! Keeping a three-strike rule also helps to ensure your inbox stays relevant and de-cluttered. If you find yourself deleting a promo email (before even reading it) for the third consecutive time from a specific sender, maybe it’s time to unsubscribe from that list.

3. When it’s okay to put labels

Okay, let’s keep it real. You can’t delete everything even if you wanted to. Some emails are crucial for work; correspondence with clients and colleagues can help clear any miscommunications. File the emails you want to keep with customised labels or categories, and make sure the subject line is easy to decode so you can go back to it easily when the need arises!

4. Allocate time blocks to read and respond to emails

Set specific times in the day to go through each email and craft a thoughtful response. By doing so, you won’t have to multitask every time a new email drops in and distract yourself from the task at hand. For starters, try setting three different 30-minute blocks to check your inbox per day.

5. Use downtime for simple housekeeping

Sync your email accounts to your phone and take advantage of idle moments to do a quick clean up. Chances are, you receive lots of emails and newsletters in a day that don’t require direct action. In the queue for lunch? Use this window to delete spam and sort other emails into their respective files.
